All appointed positions must be current, dues-paying members. All positions may serve multiple terms.

Webmaster
Term: Appointed for one year by the Elected Officers
Duties:

  • Updates website pages upon request by board members or race directors

  • Responds to emails directed to announcements@srr.org or webmaster@srr.org

  • Coordinates payment of hosting and domain fees with Treasurer

  • Sets up email accounts for the board of directors and appointed positions

  • Regularly attends club meetings, volunteers for at least one club event annually


Membership Director
Term: Appointed for two years by the Elected Officers
Duties:

  • Welcomes new members to the club

  • Answers emails and inquiries from new and potential new members

  • Maintains database of current members and manages membership via RunSignUp

  • Provides Board with a regular membership report

  • Responds to emails directed to membership@srr.org and welcome@srr.org

  • Oversees membership drives, as needed

  • Emails renewal notices to members on annual basis (automated using RunSignUp)

  • Maintains list of indoor/outdoor track memberships

  • Regularly attends club meetings or sends an update, volunteers for at least one club event annually, and is a current dues-paying member


Marketing Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Works in conjunction with race committees to coordinate all marketing campaigns and email blasts for promoting club events

  • Collects and maintains all documents, logos, artwork for our events; keeps track of our permanent marketing materials (tents, banners, etc), and supplying and giving out promotional take-aways (stickers, tattoos, flyers, etc)

  • Tracks and maintains vendor information for printing/promotional items; sets up third party promotional events

  • Maintains promotional equipment such as flags, signs, banners and tents; orders replacement equipment when needed.

  • Manages social media accounts and guidelines; delegates social media updates and contests

  • Oversees production of the quarterly newsletter "The Conqueror" and may delegate content writing and editing

  • As needed, organizes membership drives and recruitment with Membership Coordinator

  • Regularly attends club meetings and is present for most community events


Community Involvement Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Acts as the primary club contact with the city of Somerville and community organizations such as East Somerville Main Streets

  • Plans/oversees events to involve club members in the community outside of normal race events

  • Works with the volunteer coordinator to recruit club members for these community events

  • Performs outreach to community and schools for community programs such as SRR Kids (as needed)

  • Oversees or assists in the Somerville High School Scholarship Program

  • Assists with the SRR Kids program in terms of liaising with schools, Somerville community officials, and other channels of communication

  • Oversees publicity opportunities and promotes club events in conjunction with the City of Somerville

  • Regularly attends club meetings and is present for most community events

Volunteer Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Fills Club's volunteer needs, including but not limited to road races, events, SRR community and kids programs and volunteer activities

  • Responds to emails directed to volunteer@srr.org

  • Identifies new volunteer opportunities in collaboration with Board of Directors

  • Keeps record of volunteer activity for the Board of Directors and helps to recognize and award members who have volunteered frequently

  • Regularly attends club meetings


Merchandise Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Researches and proposes purchase of clothing and other items on as-needed basis

  • Orders and distributes inventory items

  • Handles and documents all money exchanged for these products in conjunction with the Treasurer

  • Provides Board with monthly sales and inventory reports

  • Regularly attends club meetings


Long-Run Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Publicizes and coordinates long runs hosted by club members

  • Solicits volunteers to host long runs

  • Assists in coordination of Boston Marathon Course long run in late March

  • Attends club meetings or sends updates prior to club meetings


Boston Marathon Coordinator
Term: Appointed for one year by the Elected Officers Appointed in July
Duties:

  • Coordinates activities of head volunteers responsible for Casey's Pre-Marathon Pasta Party, Marathon Day Bus, Marathon Day Hotel, Course Long Run, Cheer Zone & Elite Water Stop

  • Ensures activities are running smoothly and assists volunteers where needed

  • Reports back to the Board with any updates as planning progresses

  • Attends club meetings or sends updates prior to club meetings in the months leading up to the Boston Marathon


Grand Prix Coordinator
Term: Appointed for one year by the Elected Officers Appointed in July
Duties:

  • Manages and coordinates the SRR Winter Grand Prix Series

  • Responsible for choosing the Series races (soliciting feedback from members and Board)

  • Responsible for communicating/promoting the Series to members

  • Tallies Series results after each race

  • Selects and distributes Series winner and participation awards.

  • Does not need to attend club meetings, but in the absence of attending club meetings, must send updates prior to monthly meeting


Competitive Racing Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Keeps abreast of USATF Grand Prix information and ensures we get updates from the Long Distance Running committee

  • Attends Grand Prix Slate selection meeting

  • Encourages club participation in the USATF Grand Prix

  • Oversees the USATF Incentive Program for the selected races the club will cover

  • Organizes and assigns relay teams for club races such as the 26x1 Club Challenge Relay and non-club races such as the Mill Cities Relay and the Cape Cod Invitational Relay

  • Attends club meetings or sends updates prior to the monthly meeting

SRR Kids Coordinator
Term: Appointed for one year by the Elected Officers Appointed in July
Duties:

  • Mission: To encourage children to think of running as fun, and instill in them a healthy, active lifestyle to carry through their entire lives.

  • Organizes a Spring and Fall session of K-5 grade kids running program for 20-40 kids per session

  • Coordinate volunteers, outreach, registrations, tracking progress, volunteer trainings, race organization, practice agendas, communicating with volunteers and parents, report to the board, reserve field time, and other administrative items that arise

  • Does not need to attend monthly meeting, but in the absence of attending monthly meetings, should send updates


Casey's Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Manages the weekly run, including coordinating with Casey's management and keeping all necessary supplies stocked

  • Ensures that weekly results are posted

  • Recruits volunteers to time and sweep each week as needed

  • Coordinates special events and sends out regular announcement emails

  • Responds to emails directed to thursdayrun@srr.org

  • Does not need to attend monthly meetings, but in the absence of attending monthly meetings, should send updates


Bur-run Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Manages the weekly run, including coordinating with Bur-run management and keeping all necessary supplies stocked

  • Coordinates special events and sends out announcement emails

  • Responds to emails directed to bur-run@srr.org

  • Does not need to attend monthly meetings, but in the absence of attending monthly meetings, should send updates


Squirrel Scramble Run Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Manages the weekly run, including coordinating with Mighty Squirrel management and keeping all necessary supplies stocked

  • Coordinates special events and sends out announcement emails

  • Responds to emails directed to squirrelscramble@srr.org

  • Does not need to attend monthly meetings, but in the absence of attending monthly meetings, should send updates


Wednesday Morning Run Coordinator
Term: Appointed for one year by the Elected Officers
Duties:

  • Manages the weekly run

  • Coordinates special events and sends out announcement emails

  • Responds to emails directed to wednesdayrun@srr.org

  • Does not need to attend monthly meetings, but in the absence of attending monthly meetings, should send updates


Race Committees
No set term. Committees change from year to year. All committee members must be current, dues-paying members. 
Duties:

  • Committees serve to run our annual races: Wintah Challenge, An Ras Mor, 26x1, Race to the Row, Gobble Gobble Gobble

  • Committee should have 1-2 designated Race Directors to oversee the committee, designate timeline and tasks.

  • Committee members determine meeting agendas and frequency

  • Committees are responsible for all aspects of race management from advertising, marketing materials, race registration, communications, timing, certifications needed (e.g. measurements, insurance), supplies/equipment and course support

  • Committees work with club volunteer coordinator to recruit volunteers needed for race (e.g. registration/number pickup, shirts, bag check, course support, water stops)

  • Committees must submit expense reports and create a revenue/expense summary with desired charitable donations for the board to review and approve in a timely fashion

Inclusion Diversity Equity Awareness (IDEA) Coordinator/Committee 

Term: Appointed in March for one year by the Elected Officers

Duties:

  • Establishes annual priorities to align with SRR’s inclusivity statement 

  • Works in conjunction with the Board and other club officers (e.g., Membership Coordinator, Community Involvement Coordinator) to ensure inclusivity for new club members and integration with the community 

  • Identifies opportunities for partnership or programming with other organizations (e.g., Stride for Stride) 

  • Curates and updates a resource link for all club members on topics relevant to inclusion, diversity, and equity 

  • Coordinates a regular forum for club members to gather (IDEA discussions)

  • Works with social media coordinators to amplify voices within the running community 

  • Regularly attends club meetings and is present for most community events
